Software for cleaning companies — the short version
Commercial cleaning companies run on staff coverage rather than jobs: which cleaner is on which site, who covers a sickness at 6am, whether the contract's hours were actually delivered, and what to invoice at month end. GSUK builds bespoke systems that hold the rota, the sites, the checks and the contract billing together.
What tends to go wrong
- Cover is arranged by phone at six in the morning and recorded nowhere.
- Contracted hours and delivered hours drift apart, and nobody notices until the client does.
- Keys, alarm codes and site access notes live in a folder or a group chat.
- Quality checks and client complaints have no shared record, so the same issue recurs.
- Month-end invoicing is rebuilt from timesheets by hand.
What most firms run today
Usually a rota spreadsheet, a separate payroll system, WhatsApp for cover, and an accounting package for invoices. Field-service software exists but is generally built around a job visit rather than a standing contract with recurring hours.
Where it falls short
- The contract as the billing unit, with the rota rolling up into it.
- Cover that is requested, accepted and recorded in one place — so the 6am phone call leaves a trail.
- Site records that hold access, keys, equipment and hazard notes together.
- Delivered-versus-contracted hours visible before the client raises it.
What we'd build
A cleaning company system is normally: sites, contracts, staff, rota, cover, checks, and contract invoicing — with a phone view for cleaners to clock on, log an issue and photograph completed work. It is a different build from a trades job system, and that difference is most of the value.

Questions
Asked by cleaning companies.
What's the best software for a cleaning company?
It depends whether you are domestic or commercial. Domestic cleaning fits job-and-round software reasonably well. Commercial contract cleaning usually doesn't, because the unit is a contracted set of hours on a site rather than a job — that is normally where a bespoke build starts paying.
Can staff clock on and off from their phones?
Yes, and this is usually one of the first things we build: a browser page on any phone, with site confirmation, so delivered hours become a record rather than an assumption.
Will it handle both cleaning contracts and one-off deep cleans?
Yes — the mix is normal, and getting both into one system is generally why a cleaning company outgrows a rota spreadsheet.

Including the parts that annoy you. That conversation is the whole scoping exercise, and it costs nothing.
