Custom CRM — the short version

A custom CRM is a customer database built around one company's real sales and service process, instead of a general-purpose platform configured to approximate it. GSUK builds them for UK small businesses — enquiries, quotes, jobs, invoices and full history against every customer — hosted on our own UK servers on a flat monthly fee rather than per seat.

Most small businesses that bought a big-name CRM are using perhaps a tenth of it, and still keeping the real information somewhere else. That is not a training problem.

Why generic CRMs get abandoned

The large platforms are built for a sales organisation with a pipeline, a forecast and a quota. A plumbing firm, a care provider or a caravan park doesn't have that shape. Its 'pipeline' is a quote that either gets accepted or doesn't, and its most valuable record isn't the deal — it's the customer's history: what was fitted, when, by whom, and what went wrong last time.

Configure a generic CRM hard enough to fit that and you end up with something fragile, expensive per seat, and understood by one person in the office.

What we put in a custom CRM

  • Quoting that produces the document you already send, not a template you have to re-format.
  • Search that finds a customer by the way your staff remember them — the address, the van, the site, the dog's name.
  • Permissions, so the office sees everything and a subcontractor sees only their jobs.
  • Flat pricing — adding a seasonal member of staff shouldn't come with a per-seat invoice.

When you shouldn't build a custom CRM

If you are a straightforward B2B sales operation with a normal pipeline and no unusual process, an off-the-shelf CRM is genuinely the better buy and we'll tell you so. Bespoke earns its keep where the process is unusual, where per-seat pricing is punishing, or where the CRM needs to be the same system as the operations software rather than a thing beside it.

Who can build a CRM for a small business?

GSUK builds bespoke CRMs for UK small businesses, usually as part of a wider operations system so customer records and job records aren't in two places. We scope, quote a fixed build figure, then host it in the UK on a flat monthly Direct Debit.

Custom CRM or off-the-shelf?

Off-the-shelf if your process is conventional and your seat count is low. Custom if your process has real quirks, if per-seat pricing is biting, or if the CRM needs to be the same system as the software running the actual work.

Can you migrate our existing customer data?

Yes. Spreadsheets, exports from an existing CRM, or a database we can read — migration is part of the build, and we do a dry run before go-live so you can check it against reality.
