Off-the-shelf CRM or custom CRM — which should a small business choose?
Short answer
Buy an off-the-shelf CRM if you have a conventional sales pipeline, a modest number of users, and no unusual process. Build a custom one when your most valuable record is service history rather than a deal, when per-seat pricing has become significant, or when the CRM needs to be the same system as the software running the actual work.
Why small-business CRM rollouts fail
The big platforms are built around a sales organisation: a pipeline, a forecast, a quota. A plumbing firm, a caravan park or a care provider doesn't have that shape. Its 'pipeline' is a quote that's either accepted or not, and its most valuable record isn't the deal — it's what was fitted, when, by whom, and what went wrong last time.
So the CRM gets bought, configured, half-populated and quietly abandoned, while the real information stays in the job sheets. That's a fit problem, not a training problem, and more training doesn't fix it.
Off-the-shelf is the right answer when…
- You genuinely sell through stages and want a forecast.
- You have a handful of users and per-seat pricing is not a concern.
- You need it this week.
- Your process is ordinary enough that the product's assumptions match it.
Custom is the right answer when…
- Service history matters more than pipeline — and the history has to be searchable years later.
- Per-seat pricing is punishing, especially with seasonal staff.
- Customer records and job records need to be the same records, not two systems synchronising.
- Your staff search for customers by things a generic CRM has no field for — the site, the van, the property, the dog's name.
The middle path
You don't always need a CRM as a separate purchase. In most of the operations systems we build, the CRM is simply the customer view of the same database that holds jobs and invoices. That's usually the cheapest good answer: no synchronisation, no second subscription, and one place to look.
